Kassenbericht system

Z report, cash count, and company cash are closed in one flow.

LeoPOS does more than print a Z report at day end. It connects expected cash, physical counting, cash differences, next-day change money, and company cash or bank transfers into one traceable Kassenbericht.

Why it matters

If only carryover is entered, a cash shortage can disappear.

If the cashier only says 'leave 100 EUR for tomorrow', the system may treat the remaining amount as an automatic withdrawal. When the drawer actually contains 620 EUR, the 30 EUR shortage is hidden. LeoPOS therefore requires the physical count first, records the difference separately, and calculates the transfer afterwards.

The correct closing model

  • Expected cash is calculated automatically.
  • The cashier enters Gezählter Ist-Kassenbestand.
  • Kassenüberschuss or Kassenfehlbetrag is shown separately.
  • Wechselgeld für den nächsten Geschäftstag is entered.
  • The remaining amount is selected as company cash, bank deposit, or private withdrawal.

Sales are locked

When day-end closing starts, new sales are stopped for that closing window.

Cash drawer is calculated

Cash sales, refunds, cash expenses, deposits, and withdrawals produce the expected drawer balance.

Physical count is entered

The cashier counts real drawer cash; differences are stored with reason, user, date, and time.

Change money and transfer are selected

Next-day change remains in the drawer; the rest is documented as company cash, bank, or private withdrawal.

Z report + Kassenbericht are locked

Both outputs become one immutable day-end package through the same close_id.

How LeoPOS separates the money flows

POS cash drawer

The physical cash of the current business day lives here. Kassenbericht closes only this drawer.

Company cash / wallet

Cash moved from the drawer to the company is tracked here. Payments from this wallet follow the normal income/expense flow.

Bank / card

Card and SumUp sales appear in the report, but they are not added to physical drawer cash.

Tax advisor package

Daily PDFs, period summaries, CSV/XLSX, and support files can be exported together.

X report during the day

Before closing, the operator can inspect expected cash, cash movements, and card totals. X-Bericht is informational; it does not lock sales or the day.

Not every workspace has to use it

A settings toggle keeps Kassenbericht visible only in workspaces that need it. Branches that do not use the flow do not face an unnecessary daily step.

Practical solution for past months

The monthly backfill wizard prepares daily rows from Z reports, POS payments, and cash transfers. Sundays or inactive days can be marked closed; existing records are preserved.

No silent editing after close

A closed day is not edited directly. If something is wrong, the original stays intact and a correction_event records the adjustment.

Kassenbericht is not a separate afterthought in LeoPOS; it is part of day-end.

When the Z report, physical cash count, and transfer to company cash are closed together, daily reports for the accountant become practical.
